Privacy Policy
Last updated: 19 October 2026
Rylo Club (“we”, “us”) runs rylo.club, the internal mail server that sends notification emails to our teams. This policy explains what personal data we handle, why, and the choices you have. Questions go to [email protected].
What this policy covers
This website and the notification emails sent from rylo.club addresses.
What we process
- Contact details: name and company email address of the Rylo Club team members we notify. These are employees and contractors.
- Message content: what a notification says, for example an account change, a system alert or a security notice.
- Delivery records: technical data from Amazon SES, such as send time, recipient address, delivery status, bounces, spam complaints and suppression list entries.
- Correspondence: if you email us, your address and what you write.
- Website visits: this site sets no cookies and runs no analytics or advertising scripts. Our hosting provider may keep standard server logs, such as IP address, browser type and time of request, for security and reliability.
How we use it
- To deliver notifications you need for your work.
- To keep accounts and systems secure.
- To find and fix delivery problems.
- To answer your questions and requests.
- To meet legal obligations.
We do not use this data for marketing, advertising or profiling. We do not sell or rent it to anyone.
Legal bases (EEA and UK)
We rely on our legitimate interests in running, securing and communicating about our systems. Where a notification relates to your employment or engagement with us, we rely on contract. In some cases we rely on legal obligation.
Who we share it with
We use Amazon Web Services to send email (Amazon SES) and to receive bounce and complaint notifications (Amazon SNS). A hosting provider serves this site. These providers process data only on our instructions and under contract. We may also disclose data when the law requires it. We share nothing else.
Third-party content
The homepage background video is loaded from a third-party content delivery network. To fetch it, your browser connects to that network, which receives your IP address and standard request data. Fonts are served from this site, not a third party.
International transfers
Our providers may process data outside your country. Where the law requires it, we use safeguards such as standard contractual clauses.
How long we keep it
We keep notification and delivery records only as long as we need them to operate and secure our systems, then delete them, unless the law requires us to keep them longer. We keep emails sent to us for as long as we need to handle the request.
Your rights
Depending on where you live, laws such as the GDPR, UK GDPR, California’s CCPA/CPRA and India’s Digital Personal Data Protection Act 2023 may give you the right to:
- access the personal data we hold about you
- correct data that is wrong or incomplete
- have your data deleted
- restrict or object to how we use it
- receive your data in a portable format
- withdraw consent, where we rely on it
- nominate someone to act for you
- complain to your data protection authority, such as the Data Protection Board of India
To use any of these rights, email [email protected]. We reply within one month, or sooner if the law requires. We will not treat you differently for using your rights. We do not “sell” or “share” personal information as California law defines those terms.
Turning off notifications
Security and essential account notices stay on while you are on the team. For anything else, see our Email Policy or write to us.
Security
We use reasonable technical and organisational measures to protect personal data, including access controls and encryption in transit. No system is perfectly secure. If a breach affects you, we will tell you as the law requires.
Children
This site and our notifications are meant for adults in a work context. We do not knowingly process data about anyone under 18.
Changes
If we update this policy, we will change the date at the top. If a change is significant, we will also tell the people we notify.
