Email Policy

Last updated: 19 October 2026

rylo.club is Rylo Club’s internal mail server. It sends operational email to our own team members, and nobody else. This page explains what we send, who gets it, how we handle bounces and complaints, and how to opt out.

Who gets our email

  • Only current Rylo Club team members, employees and contractors, at their company email addresses.
  • Addresses come from our internal team directory when someone joins. We remove them when that person leaves.
  • No external recipients. No sign-up forms. We never buy, rent or scrape email lists.

What we send

  • Account notices: sign-ins, password resets and access changes.
  • System alerts: outages, incidents and scheduled maintenance.
  • Security notices: suspicious activity and required actions.
  • Operational updates: assignments, approvals, reminders and reports.

Volume is low. We send email only when something happens that a team member needs to know about.

What we never send

No marketing, promotions or newsletters, and no email to anyone outside the team.

Sending infrastructure

We send all mail through Amazon Simple Email Service (Amazon SES) from the verified domain rylo.club. We authenticate our mail with DKIM (SES Easy DKIM), SPF and DMARC.

Bounces and complaints

  • Amazon SES sends us bounce and complaint notifications through Amazon SNS.
  • When an address hard-bounces, we add it to our suppression list immediately and never retry it.
  • We investigate every complaint and suppress the address until the issue is resolved.
  • We monitor bounce and complaint rates and keep them well below Amazon SES limits.

Opting out

Security and essential account notices stay on while you are on the team. To stop any other notification, use the settings link in the email where there is one, or write to [email protected]. We handle requests within 10 business days.

How to recognise our email

Genuine Rylo Club email comes from an @rylo.club address, uses a clear sender name and has a subject line that matches its content. Rylo Club will never ask for your password by email.

Compliance

We follow the email rules that apply to us. These include CAN-SPAM (US), CASL (Canada), the GDPR, ePrivacy and PECR (EU and UK), and India’s Information Technology Act and Digital Personal Data Protection Act. Our mail is internal operational mail, not commercial messaging. Our Privacy Policy explains how we handle the personal data involved.

Did you get an email from rylo.club that you didn’t expect? Do you think someone is spoofing our address? Forward the message to [email protected], with its headers if you can. We look into every report and suppress any address that shouldn’t be getting our mail.
